Annual general meetings

AGM registration and sign-in, with an attendance record for the minutes.

Members register or are imported from your register, sign in at the door by QR code or by name, and the secretary leaves with a file of who attended and when they arrived. WebMobi runs the door, not the business of the meeting.

What WebMobi does at an AGM

An annual general meeting needs a dependable front door: a way for members to say they are coming, a desk that signs them in quickly, and a record afterwards that the secretary can rely on. WebMobi provides those three things for associations, co-operatives, clubs and companies holding their AGM in person.

Know the boundary before you plan. WebMobi records who registered and who signed in, with the time of each sign-in. It does not handle the meeting’s formal business — the decisions, and how they are counted. What it leaves out is listed under What it does not do, below, in plain terms.

WebMobi Event App Builder · Build and launch your event app yourself.

WebMobi Event App Builder is a self-service event app builder that helps conference organizers, associations, agencies and event teams create and launch branded event apps — with registration, check-in (including offline check-in and walk-ins), session attendance, agenda, speakers and exhibitors in one platform.

From the notice to the minutes

1. When the notice goes out

Create the event with the meeting’s date, time and venue, and set its time zone: every time in the sign-in record is written in it. Give it an access code before you publish, so it never appears on WebMobi’s public Discover listing, and print the code and the event address in the notice. The address is safe to print. Renaming the event never changes it, and if you change the address later the old one keeps forwarding — links to pages inside the event included.

2. Building the list of members

Members can register themselves on the event page, which asks for a name and an email, with phone and organization optional. Or import your member register: a .csv or .xlsx file of up to 5,000 rows, with your column headings mapped to WebMobi’s and the valid rows, warnings and errors shown before anything is written. An import never removes anyone and skips members already registered with the same email. The attendance export lists each member’s name and email, so it can be matched back to your register by email.

3. Confirmations and codes

If members should arrive with a QR code, they need the confirmation email: switch on Send emails for this event before registration opens, because nothing is sent until you do. Members you import are not emailed by the import, so the desk signs them in by name.

4. The sign-in desk

On the day, staff open the event’s Check-In page on a laptop or a phone, or use the WebMobi app. A member with a code is scanned; a member without one is found by name, email or registration number. A guest, or a member who never registered, is added as a walk-in and signed in in one step, and the registration close date does not block it. The Attended figure at the top of the page rises as people arrive, and the list refreshes every 15 seconds.

5. After the meeting

Export List downloads every registration with Attended (Yes or No) and the first sign-in time, written as YYYY-MM-DD HH:MM:SS in the event’s time zone with the zone named. History shows each sign-in with the staff member who made it, so a disputed attendance can be checked. The sign-in records themselves cannot be edited or deleted.

What the attendance figures mean

FigureWhat it counts
RegisteredConfirmed registrations.
AttendedPeople with at least one sign-in, each counted once — a member who leaves and returns is still one.
Attendance rateAttended as a share of Registered.
Check-insEvery sign-in, re-entries included.

If your rules set a minimum attendance before the meeting can proceed, Attended is the figure to read — but whether it is enough, and who should count toward it, is for your rules to decide, not WebMobi. Attended counts everyone signed in, guests and observers included, so agree in advance how the desk records people who are not members.

Codes, names and who is really at the door

A QR code identifies a registration, not a person: whoever holds a copy of a member’s confirmation can be signed in as that member. The access code is the same for every member. Neither replaces your own identity check. If your rules require one, put it at the desk — the name shown after each scan is the cue to compare with the person in front of you.

Give each desk volunteer their own account, added to the event with only the Manage registrations permission, so History records who signed in whom. Send the invitations a few days ahead and check that each one has been accepted — an invitation expires after seven days, and a pending one gives no access.

What an AGM costs

Most AGMs are a single event a year, which suits a one-off event pass bought for the meeting: Event Lite at $49 for up to 49, Event Starter at $99 for up to 99, Event Growth at $299 for up to 299, Event Professional at $999 for up to 999 participants, with Enterprise priced to size for a thousand people or more. A participant is one person registered for the meeting. Every plan is on the pricing page. For the rest of an association’s calendar — conferences, chapter events, member workshops — see association event management.

What it does not do

Written down here so you find out now, not on event day.

No voting, proxies or quorum calculation

WebMobi does not run votes or ballots, record or count proxies, or decide whether a meeting is quorate. It records registration and sign-in only; the meeting’s business follows your own procedure.

No remote or hybrid attendance

Members who are not in the room cannot attend through WebMobi; there is no live stream.

Identity checks are yours

The access code is shared by all members, and a QR code identifies a registration rather than the person holding it.

The attendance file holds up to 500 registrations

For a larger membership Export List is incomplete — compare its row count with Registered. The by-name search at the desk also covers the 500 most recent registrations; scan codes where you can.

No link to your membership system

The member list comes in as a file, and an import never removes anyone. Lapsed members are removed on screen.

The desk cannot undo a sign-in

A wrong sign-in stays on the record. Send support the details after the meeting; the original stays in History.

No custom registration questions

The form cannot ask for a membership number or a branch. Match registrations to your register by email.

AGM questions

Can WebMobi run the votes at our AGM?

No. WebMobi does not run votes or ballots, handle proxies or calculate quorum. It runs registration and sign-in, and gives you the attendance record.

Can members register for the AGM themselves?

Yes, on the event page with their name and email. You can also import your member register from a spreadsheet of up to 5,000 rows.

Can we keep the AGM off public event listings?

Yes. With an access code the meeting is left off WebMobi’s Discover page. Anyone who has the event’s address can still open the page, so print the code and the address only in the notice to members.

How do members sign in at the door?

By having the QR code from their confirmation email scanned, or by name, email or registration number at the desk. A member who never registered can be added and signed in in one step.

Can we export who attended for the minutes?

Yes. Export List gives every registration with Attended (Yes or No) and the first sign-in time in the meeting’s time zone, for up to 500 registrations, as a CSV file.

Does a member who leaves and comes back count twice?

No. Attended counts each person once; the extra sign-in is kept in the record without adding to the total.

Can members attend remotely?

No. WebMobi runs the in-person sign-in. It does not provide remote attendance or a broadcast of the meeting.

Is it safe to print the event address in the notice of meeting?

Yes. The address does not change when you rename the event, and if you change it in settings, the old address keeps forwarding to the event.

A calm front door for your AGM, and a record the secretary can rely on.

Create the meeting, import your members, switch emails on, and export the attendance file when the doors close.
