Internal company events

Internal company events, run by your own team: town halls, kickoffs and offsites.

Keep the event off public listings, load employees from a spreadsheet, publish the agenda to the WebMobi app, check people in at the door and into breakouts, and hand HR an attendance file afterwards.

Invite-only with an access code · employee lists by spreadsheet · the agenda in the app · permissions per event

What it is, and who it is for

WebMobi is self-service software for running an event from the invitation to the attendance report. For an internal event that means three things: an event employees can open but the public is not shown, a programme that lives in one place and appears on the event page and in the app, and a door that records who came.

This page is for the internal-communications, people and sales-operations teams who run their own company’s events — the quarterly town hall, the annual sales kickoff, the leadership offsite, the regional roadshow. If you are choosing one platform for a whole organization’s event programme, start with enterprise event management instead.

WebMobi Event App Builder · Build and launch your event app yourself.

WebMobi Event App Builder is a self-service event app builder that helps conference organizers, associations, agencies and event teams create and launch branded event apps — with registration, check-in (including offline check-in and walk-ins), session attendance, agenda, speakers and exhibitors in one platform.

Three internal events, three different jobs

The town hall

Large, short and mostly one session. The work is getting everyone registered and through the door quickly. Either send employees the registration link — each one receives a QR code by email once emails are switched on for the event — or import the list and check people in by name. Two or three phones at the entrance, plus a walk-in desk for anyone who did not register, keep the queue moving. Afterwards, Export List shows every registered employee with Attended (Yes or No).

The sales kickoff

Two or three days, a main stage and breakouts by region or product line. Build the agenda as sessions with tracks and rooms, link each presenter to their sessions, and put a phone at each breakout door, so the session report shows who actually attended the enablement sessions rather than who said they would.

The offsite

Small, invite-only and heavy on logistics. The registration form asks for dietary requirements alongside name, email, phone and company, and the agenda in the app becomes the one place the schedule lives when it changes on the second morning. At a remote venue, the app keeps scanning badges without a signal and sends the check-ins when it reconnects.

Invite-only, without building an intranet page

Internal events should not appear in public event listings. Give the event an access code and WebMobi’s Discover page leaves it out; employees open it with the code you include in the invitation. Before launch, a preview link lets leadership or legal review the page without publishing it.

Two things to know. The published event page still opens for anyone who has its address, so keep anything confidential off it. And the access code is the same for every employee, so treat it like a shared password rather than a login.

Bringing in the employee list

Most companies already have the list in a spreadsheet from HR. The attendee import takes .csv or .xlsx files of up to 5,000 rows. You map your columns to WebMobi’s — first name, last name and email are required; company, job title, phone and an external ID such as an employee number are optional — and the import shows valid rows, warnings and errors before anything is written. Every imported employee gets a registration and a QR code.

  • An import adds and updates; it never removes anyone. Leavers and cancellations are handled on screen, one at a time.
  • Employees already registered with the same email are skipped rather than duplicated.
  • The import sends no email. If employees need their QR code before the day, have them register through the event link with emails switched on.
  • A new event stays silent until someone turns its emails on, so setting up can never mail the whole company by accident.

One agenda, on the event page and in the app

Sessions, speakers, rooms and sponsors are entered once and appear on the event’s web page and in the WebMobi app on iPhone and Android, which employees install from the App Store or Google Play. Executives and guest presenters are speakers, and their profiles are published without their email addresses. When the running order changes, edit the session once and every surface shows the new time.

Every plan includes your events inside the WebMobi app at no cost. If the company wants an app under its own name and icon, that is a one-off $999 add-on published on the App Store and Google Play; store review times are set by Apple and Google. Plans and passes are on the pricing page.

Run it as a team, with permissions per event

Internal events are rarely one person’s job. Your organization’s owners and admins can manage every event; anyone else is added to a particular event with the permissions you tick on its Team page. Teammates made admins of an event can edit its speakers, sessions, sponsors and exhibitors — not only the person who created it.

PermissionTypically given to
Edit eventInternal comms — the page, sessions, speakers, sponsors and rooms.
Manage registrationsThe registration desk and door staff — the attendee list, walk-ins and check-in.
View analyticsThe event lead and HR — attendance figures and the session report.
Manage teamGranted only by the event’s creator or an organization owner or admin.

Every change to sessions, speakers and registrations is kept in the event’s History with the value before and after, readable only by the people who manage the event — useful when the agenda has been edited by four people in the last week.

On the day, and the file afterwards

At the door, staff scan QR codes in the WebMobi app or on the web Check-In page — a laptop with a USB badge scanner works too — and find anyone without a code by name. For breakouts, they choose the session before scanning, so the Analytics page can list who attended each one. An employee who turns up without registering is added as a walk-in and checked in in the same step.

Afterwards, Export List gives every registration with Attended (Yes or No) and the first check-in time, and the session report lists attendees per breakout with in and out times. Both are CSV files with times in the event’s time zone, downloaded from the web dashboard.

What it does not do

Written down here so you find out now, not on event day.

No custom registration questions

The registration form asks for name, email, phone, company and dietary requirements. You cannot add your own questions, such as T-shirt size or department.

No sync with your HR system

Employee lists come in as files. An import never removes anyone, so leavers and cancellations are handled on screen.

No live stream for remote staff

WebMobi runs the in-person event. It does not broadcast sessions to employees who are not in the room.

No badge printing

Employees carry their QR code on their phone or on a printout of the confirmation email; WebMobi does not design or print badges.

The access code is shared, not personal

It keeps the event out of public listings; it is not a login. The event page itself opens for anyone who has its address.

Export List stops at 500 registrations

For a larger town hall the file is incomplete — compare its row count with Registered on the Check-In page.

Internal event questions

Can we keep an internal event off public listings?

Yes. Give it an access code and WebMobi’s Discover page leaves it out; employees open it with the code from their invitation. The event page still opens for anyone who has its address, so keep confidential material off it.

Can we import our employee list?

Yes, from a .csv or .xlsx file of up to 5,000 rows, mapping your columns to WebMobi’s. Every imported employee gets a registration and a QR code. The import sends no email.

Can different people on our team have different access?

Yes. Organization owners and admins manage every event; anyone else is added to a particular event with the permissions you tick — Edit event, Manage registrations, View analytics and others.

Can we track attendance at breakout sessions?

Yes. Staff choose the breakout before scanning, and the Analytics page lists each session with its attendees and their in and out times, exportable as a CSV file.

Can employees use the app on their own phones?

Yes. The event appears in the WebMobi app on iPhone and Android, with the agenda, speakers and rooms your team entered once.

Can the app carry our company’s name?

Yes, as a one-off add-on: an app under your own name and icon on the App Store and Google Play. Without it, your events run inside the WebMobi app at no extra cost.

Can we broadcast the town hall to remote employees?

No. WebMobi runs registration, the app and check-in for the in-person event; it does not broadcast sessions to people elsewhere.

Can we add our own questions to the registration form?

No. The form collects first and last name, email, phone, company and dietary requirements; it does not take questions you write yourself.
