Step 8 · Conference app
Academic conference app
What should an academic conference app do?
An academic conference app puts the program in attendees’ hands: every session with its track, room and time, a personal schedule built from the sessions each attendee chooses, speaker profiles, and the current time and room whenever the program changes. For credit-bearing meetings it also scans session check-ins, including without signal, so attendance can be counted afterwards.
Your conference runs inside the WebMobi app for iOS and Android on every plan. Attendees find the program there; your staff use it to check people in to sessions.
At a glance
- Your conference inside the WebMobi app on iOS and Android
- Every session with its track, room and time
- A personal schedule built from the sessions attendees choose
- Speaker profiles
- QR check-in per session, including without signal
- Walk-in registration at the door
- An optional app under your own name
The program on every attendee’s phone
The app shows your event’s agenda: every session with its track, room and time, including the sessions the program builder created from accepted papers. Because the app, the website and check-in read the same agenda, a session you move in the workspace moves everywhere.
A schedule of their own
In a multi-track meeting nobody attends everything. Attendees add the sessions they plan to attend to their own schedule and see their day at a glance, alongside speaker profiles for the people presenting.
Session check-in that counts
Staff scan attendees’ QR codes into each session with the app. Scanning keeps working in a basement lecture hall with no signal and merges across phones when they reconnect, so an attendee scanned on two devices is counted once. Walk-ins can be registered at the door.
Those session check-ins are the attendance record that CME and CPD credits are calculated from. After the meeting, the session attendance reports show who attended each session — the evidence a society needs for continuing education, and the numbers it needs to size next year’s rooms.
Parallel sessions are why attendees need it
A scholarly meeting with several rooms running at once asks every attendee to choose, every ninety minutes, between sessions they have not seen. Showing each session’s track and room, and letting attendees keep their own list, turns a printed grid into a plan they can follow between buildings.

Your own app, if you want one
Every plan includes your conference inside the WebMobi app. A society that wants an app under its own name on the App Store and Google Play can add one for $999 one-off. Store review times are set by Apple and Google.
What is on the website instead
The abstract book is published on your conference website and as a PDF; it is not in the app yet. The call for abstracts is also a website page, so authors submit from any browser.
Frequently asked questions
Do attendees download a separate app for our conference?
No. They install the WebMobi app and open your conference in it. An app under your society’s own name is an optional add-on.
Does check-in work without internet?
Yes. Scans are kept on the phone and merged when it reconnects.
Can attendees read the abstracts in the app?
Not yet. The abstract book is on your conference website and available as a PDF.
Your conference starts with one sentence.
Describe your conference in a sentence. AI proposes the event and its website, and your workspace suggests the academic modules to switch on. Nothing is public until you publish.
