Step 6 · Abstract book
Conference abstract book software
What is abstract book software?
Abstract book software generates a conference’s book of abstracts from the accepted, published submissions instead of from manual copy-and-paste: it orders entries by track, presentation type or title, adds a table of contents and numbered author affiliations, and produces a PDF and a web version from the same records, so the two always match.
The abstract book is generated from your accepted, published abstracts. It holds no copy of any abstract, so there is nothing to fall out of date: every entry is exactly what the committee accepted and you published.
At a glance
- Generated from accepted, published abstracts
- Ordered by track, presentation type or alphabetically
- Table of contents, tracks, abstracts, authors and affiliations as sections you choose
- Numbered affiliations when authors come from several institutions
- Preview before publishing
- PDF download
- A web abstract book on your conference website
- Publish, and take down again, whenever you need to
Built from the abstracts, not pasted from them
Only abstracts that were accepted in peer review and then published appear in the book. An accepted-but-unpublished abstract never shows up in a preview the public can reach, on the web book or in the PDF. The book needs at least one published abstract before it can be published itself.
Choose what each entry shows and in what order
- Title
- The book’s own title, for example “Book of Abstracts — Annual Congress 2027”.
- Sections
- Table of contents, tracks, abstract text, authors and affiliations — each on or off. Every entry always shows its reference, title and presentation type.
- Ordering
- By track (tracks become the book’s headings), by presentation type, or alphabetically.
When authors come from more than one institution, affiliations are numbered against the names, the way printed programs do it. Email addresses are never printed, whatever the settings.
Choosing an order
| Order | How the book is grouped | Best when |
|---|---|---|
| Track | Each track is a heading, entries under it | Readers look for their own field; the book mirrors the program |
| Presentation type | Oral presentations and posters apart | Poster presenters and visitors need their own list |
| Alphabetical | One list, by title | The book is searched more than it is read |
A PDF and a web book from the same source
Generate a preview to see the book as it will look, then a PDF to download or send to a printer. Publish, and the book also appears as a page on your conference website, with a link in the event’s menu. The PDF and the web book are rendered from the same entries in the same order, so they cannot disagree.
Publishing that stays under your control
- Saving new settings does not change the public book. The public book keeps the settings you last published until you publish again, so fixing a typo in the title is not a live edit.
- A book can be taken down and republished. Its version number and last publication date are kept.
- Abstracts are read from the submissions every time, so an abstract published after the book appears in it without re-typing anything.
Frequently asked questions
Can we edit an abstract inside the book?
No, by design. The book is a rendering of the accepted submissions, which is what keeps the PDF, the web book and the review record in agreement. Check entries before you publish the accepted abstracts: a published abstract is final.
Does the book appear in the conference app?
Not yet. Today the abstract book is published as a PDF and as a page on your conference website.
Can we publish the book before the program is final?
Yes. The book lists published abstracts in the order you choose, and it can be republished after the program changes.
Your conference starts with one sentence.
Describe your conference in a sentence. AI proposes the event and its website, and your workspace suggests the academic modules to switch on. Nothing is public until you publish.
