Book of abstracts template

What goes in a book of abstracts template?

A book of abstracts template fixes the structure every entry follows: a title page, a short note on how to read an entry, a table of contents by track or session, then one entry per accepted abstract with its reference, title, authors with numbered affiliations, the abstract text and keywords, and an author index at the back.

A book of abstracts is read by scanning: readers look for a track, an author or a reference. This template fixes the parts and the entry layout so every entry can be scanned the same way.

The entry layout

  1. Line 1

Reference and presentation type — for example “ABS-0001 · Oral presentation”

  2. Line 2

    Title

  3. Line 3

Authors, each followed by a superscript affiliation number; presenting author marked

  4. Line 4

Numbered affiliations: department, institution, city, country

  5. Line 5

    Abstract text

  6. Line 6

    Keywords

Filling it in with Word

  • Tracks use the Heading 1 style and entries use Heading 2, so Word can build the table of contents from them (References → Table of Contents) once the entries are in.
  • Write affiliation numbers as superscript and number institutions in the order they first appear in the entry.
  • Mark the presenting author the same way throughout — the template uses an asterisk.
  • Build the author index last, from the final list, so a late withdrawal does not leave a reference that points nowhere.

Or generate it

If your abstracts were reviewed in WebMobi, the book does not need to be typed at all. The abstract book module generates it from the accepted, published abstracts — ordered by track, presentation type or title, with a table of contents and numbered affiliations — as a PDF and as a page on your conference website. It does not include an author index; keep this template for that part if you print one. See abstract book software and how to create a conference abstract book.

Frequently asked questions

Word or Markdown?

Word if the book will be laid out and printed by hand. Markdown if it will be converted by another tool or kept in version control. Both contain the same structure.

Should the book include the session and time of each presentation?

It helps readers at the meeting, but only once the program is final. If the book goes out earlier, leave sessions out rather than print times that change.

Is an author index necessary?

In print, yes — it is how readers find a colleague’s work. On a website, search does the same job.
