Conference abstract submission form template
What should a conference abstract submission form include?
A conference abstract submission form should collect the title, the abstract text within a stated word limit, the submitting author’s name and email, co-authors with their affiliations, the submission type (for example oral, poster, workshop or case study), a track, keywords and the author’s presentation preference — and it should give every submission a reference number.
This is the form WebMobi generates for a call for abstracts, field for field — so you can use it anywhere, print it for a committee meeting, or create it in WebMobi as it stands.

Every field, its rule and its help text

| Submission type | Single choice | Always required | One of the types the call offers | Oral presentation, Poster, Workshop, Case study or Other. |
| Abstract | Long text | Always required | Up to the call’s word limit (300 words by default) | Words are counted as text separated by spaces. If review is double-blind, leave out names, institutions and identifying self-references. |

| Co-author email | Email per co-author | Organizer’s choice — optional by default | — | Used only by the organizers. |
| Track | Single choice | Organizer’s choice — off by default | One of the call’s tracks | The track that fits your work best. The committee may move it. |
| Keywords | List | Organizer’s choice — optional by default | Up to 10, each up to 50 characters | A few specific terms that help reviewers and readers find the work. |
| Presentation preference | Single choice | Organizer’s choice — optional by default | Oral, Poster or Either | Your preference. The committee makes the final assignment. |
Why each field earns its place
- Title and abstract
- What reviewers score and what the abstract book prints.
- Affiliations
- What conflict-of-interest checks compare, and what the abstract book numbers.
- Track and keywords
- What reviewer assignment matches on, and what the program groups by.
- Presentation preference
- What the committee weighs when deciding between an oral slot and a poster.
- Presenting
- Tells the organizers who will be in the room.
Everything else is a question authors must answer and you must store. If a field is not used by review, the program or the book, leave it out.
Adapting it to your call
- Set the word limit in the guidelines and in the abstract field’s help text — they must say the same number.
- Decide for each optional field whether it is off, optional or required. Required affiliations are the sensible default when reviewers are checked for conflicts.
- Turn the track field on only if you have tracks, and list them in the call.
- For double-blind review, keep the instruction in the abstract field’s help text, where authors read it while writing.
- Put deadlines, eligibility and what happens after review in the guidelines above the form, not in the fields.
Writing the rest of the call is covered in how to create a call for abstracts. To check an abstract against a limit before submitting, use the abstract word count checker.
Create this form in WebMobi
In WebMobi this form is not built by hand: switch on Abstracts for your event, choose the submission types, the word limit and which optional fields to use, and the form appears on your conference website under “Call for abstracts”. Each submission is checked against those rules and receives a reference number. See abstract submission software.
Frequently asked questions
Can I use this template with a different form tool?
Yes. The CSV lists every field with its type, rule, limit and help text, and the Word and Markdown versions print as a form.
Why is there no file upload field?
The template mirrors WebMobi’s form, which collects structured text. Full papers and posters are best requested from accepted authors, with their own deadline.
How many co-authors should the form allow?
Enough for your field’s usual author lists. WebMobi’s form allows 10 by default and can be set anywhere from none to 30.
