Compare · Event apps for associations

Best event apps for associations in 2026, scored on what an association actually needs.

10 event apps and seven questions an association asks of one — member registration, online payment, next year’s meeting, session attendance, check-in, sponsors and exhibitors, and an app under its own name — with a source link and a read date on every cell. WebMobi is scored by the same rule, including the columns where it scores zero.

The short answer

On published capability, Accelevents and Cadmium (Eventscribe) come out on top, with 13 of 14 points. They state almost every column on their own pages, and where they do not, the gap is a plan or an add-on rather than a missing feature. Which of them suits your association depends on things this table cannot score: the size of your meeting, what your member database is, and what you will pay — so read the cards and ask each shortlisted vendor the seven questions below.

WebMobi finishes 10th of 10. It does not take registration fees, has no member pricing, does not claim a way to roll this year’s meeting into next year’s, and does not publish an app under your association’s own name. Where it is strong — session attendance, check-in that keeps working offline in the app, and a programme you build yourself from spreadsheets — is set out below, after the ranking.

What an association needs from an event app

An association’s meeting is not a one-off conference. It is run for members, it recurs every year, it often carries continuing-education obligations, and it is paid for partly by sponsors and exhibitors. Those four facts produce the seven questions this page scores.

Member registration

Members usually pay a different rate from non-members, and some sessions or the whole meeting may be open to members only. The question is whether registration can recognise a member — through member pricing, member-only tickets, or a link to the membership database (AMS) your association already keeps — rather than trusting a tick box.

Online payment

Most annual meetings charge a registration fee. If the platform cannot take that payment as people register, you run a second system for money and reconcile the two afterwards.

Next year’s edition

The same meeting comes round every year with much of the same structure: tracks, rooms, sponsor tiers, registration types. Being able to copy last year’s event, or start from a saved template, is the difference between adjusting a programme and rebuilding one.

Session attendance

Continuing-education reporting, accreditation and member engagement all rest on who attended which session, not just who arrived at the venue. The question is whether attendance is recorded per session — by scanning at the room door or checking people in by name — and whether that record can be exported.

On-site check-in

Volunteers and staff on the registration desk need to find people quickly and check them in, including the members who registered months ago and have no code with them.

Sponsors and exhibitors in the app

Sponsorship and exhibit sales pay for a large share of many association meetings. Sponsors expect to be visible in the event app, and exhibitors expect attendees to be able to find their booth.

An app under your own name

Some associations want an app their members find in the App Store and Google Play under the association’s own name, rather than their event inside the vendor’s app. It is a real difference to members, and it is almost always priced separately — which is why it is a column.

The questions behind each column, as they are scored:

  • Member registration. Can registration recognise members — member pricing, member-only tickets, or a link to your member database (AMS)?
  • Online payment. Can people pay a registration or ticket fee online as they register?
  • Next year’s edition. Can you start next year’s meeting from this year’s — by copying the event or from a saved template?
  • Session attendance. Is attendance recorded per session, not only at the entrance?
  • On-site check-in. Can staff check people in at the venue?
  • Sponsors and exhibitors in the app. Can attendees browse sponsors and exhibitors in the event app?
  • App under your own name. Can the event app be published under your organisation’s or event’s own name in the App Store and Google Play?

How this ranking works

Seven columns, one rule. For each vendor we read its own product pages, help centre, pricing page, press releases and app-store listings — nothing else — on 2026-10-14, and recorded for each column whether the capability is included; on a higher plan, an add-on or a separate purchase; not offered; or not stated. Included scores 2, a higher plan or add-on scores 1, and anything else scores 0, for a maximum of 14. Where one page states a capability and another places it on a higher plan or an add-on, the stricter reading is the one scored, for every vendor alike. Ties break on whether the vendor publishes its prices, then alphabetically.

It is a count of published capability, not a quality test. It cannot tell you whose app attendees like best, or whose support answers fastest: no vendor publishes those figures, we hold no review data, and we do not score them. A “not stated” cell means the vendor’s pages did not say — not that the feature is missing.

What is not scored. Continuing-education certificates, abstract submission, housing and badge printing all matter to some associations; where a vendor’s page mentions them they appear in its card, but they are not columns. Attendee networking is not a column either: WebMobi’s networking is a private beta that is not enabled by default, and ranking vendors on something a WebMobi customer cannot switch on would not be a fair comparison in either direction.

What the research found

Member registration is the column that splits the list

5 of the 9 other vendors state member-aware registration as part of their product; 2 reach it through a priced integration or an add-on; for 2 it was not stated on the pages read. If your members pay a different rate, ask every shortlisted vendor how a member is recognised — by your database, or by the registrant’s word.

Copying last year’s meeting is common

8 of the 9 vendors describe copying an event or starting from a template without putting it on a higher plan; Cadmium (Eventscribe) limits it to its enterprise accounts. Read the notes: some copy the structure and branding but not the sessions or the people.

Session attendance: check which package carries it

6 of the 9 vendors include per-session attendance as the pages read describe it; EventMobi and Swapcard place it in an onsite package or add-on, and for Glue Up it was not stated on the pages read. If you report continuing-education hours, price the package that carries it, not just the app.

An app under your own name almost always costs extra

7 of the 9 vendors offer an app under your own name as an add-on, a higher package or a separate service; Cadmium (Eventscribe) publishes separately named apps without a stated condition; Whova states that it is not a white-label app. WebMobi does not offer one.

Payment and prices

7 of the 9 vendors take registration payments as standard. 6 of the 9 publish prices on their own site; we link each pricing page and repeat no figures.

WebMobi, by the same rule

WebMobi finishes 10th of 10, with 6 of 14 points. Session attendance, check-in, and speakers and exhibitors in the app are stated on our own pages and score in full. Online payment, member registration, next year’s edition and an app under your own name score zero, and the reasons are written out in “What it does not do” below — the same sentences our cells cite.

WebMobi Event App Builder · Build and launch your event app yourself.

WebMobi Event App Builder is a self-service event app builder that helps conference organizers, associations, agencies and event teams create and launch branded event apps — with registration, check-in (including offline check-in and walk-ins), session attendance, agenda, speakers and exhibitors in one platform.

Where WebMobi fits an association

WebMobi suits an association that needs a programme, an app for members and a reliable front door and session record, and takes its fees somewhere else. These are the parts of that workflow the table does not score:

  • A session record you can hand on. Staff choose the session on the web check-in page or in the app, scan badges or find people by name, and can scan them out again. Analytics lists who attended each session, and the export is in your event’s time zone. Session check-in and attendance reports.
  • A front door that keeps going without signal. Check-in works offline in the WebMobi app, members with no code are found by name, and walk-ins are registered and checked in in one step. Offline event check-in.
  • Who let whom in. Every check-in is recorded in the event’s History with the staff member, the device and whether it was taken offline. The check-in audit trail.
  • A volunteer and staff team. Each person in your organization is an owner, an admin or a member, and teammates you make admins can edit speakers, sessions, sponsors and exhibitors — not only the person who created the event. Team permissions.
  • The programme from your spreadsheets. Sessions, speakers, sponsors, exhibitors and attendees import from the workbooks you already keep; sponsor tiers keep your own wording, such as “government partner”, and your display order. An import adds and updates; it never deletes. Bulk attendee import.
  • A members-only meeting. An access code limits an event to the people you send it to. It is not member pricing and it does not check your database. Private event registration.
  • A rehearsal before members arrive. Publish as Test, run registration and check-in with your volunteers, and those test registrations and check-ins never count; then go live.

The WebMobi app is on iPhone and Android. Offline QR scanning works on both. Checking people in by name while offline, and adding walk-ins in the app, are on iPhone today and reach Android with the next Google Play update of the app. On iPhone the scanner also plays a sound for every scan, reads only the badge inside the square (two badges in view check in nobody), and can use the front or back camera.

How to choose

  • Start with money and members: if registration must take fees at member and non-member rates, keep only the vendors that score on both columns.
  • If you report continuing-education hours, ask which package carries per-session attendance and what its export contains.
  • If the same meeting runs every year, ask what a copied event brings with it — structure only, or sessions and people too.
  • Decide whether members need an app under your association’s own name, and price that add-on before you compare base prices.
  • Prefer vendors that publish prices when the board wants a number before a sales call.
  • Rehearse check-in on your own phones, with two devices and the Wi-Fi off, before you sign.

What it does not do

Written down here so you find out now, not on event day.

No registration or ticket payments

WebMobi does not take registration or ticket payments today; a paid event’s button links to your own ticketing page. For a paid meeting, set the event’s ticket link to the page where you take payment.

No member pricing or member database link

WebMobi has no member pricing and no link to a member database. An access code can limit an event to the people you send it to.

Copying an event into next year is not claimed

WebMobi does not claim a way to copy an event into next year’s edition today. Next year’s meeting is a new event; its sessions, speakers, sponsors and exhibitors import from the same spreadsheets.

No app under your association’s own name

WebMobi does not publish a separate app under your organization’s name in the App Store or Google Play. Your event runs inside the WebMobi app; on paid plans attendees see your event’s branded experience.

No continuing-education certificates

WebMobi records and exports who attended each session. It does not calculate credits or issue certificates.

No badge printing and no exhibitor lead retrieval

Attendees show the QR code from their confirmation email or on their phone; exhibitors have listings and booths, not a badge-scanning lead app.

Attendee networking is a private beta

WebMobi networking is in private beta and is not enabled by default. Request activation at /contact-sales or support@webmobi.com.

No live streaming or hybrid delivery

WebMobi runs in-person events; it does not stream sessions.

This comparison is not a quality test

It counts what vendors publish about their own products on one date. It does not measure ease of use, reliability or support.

Vendors change their pages

Every cell was read on 2026-10-14. A cell may be out of date by the time you read it; follow the source link.

One research pass

Each vendor was read once, by one researcher. A second, independent pass has not yet been made.

FAQ

How is this ranking calculated?

Seven columns, each read from the vendor’s own pages: member registration, online payment, next year’s edition, session attendance, on-site check-in, sponsors and exhibitors in the app, and an app under your own name. Included scores 2; a higher plan, an add-on or a separate purchase scores 1; not offered, not stated or not claimed scores 0 — 14 at most. Ties break on whether the vendor publishes its prices, then alphabetically.

Why do some cells say “not stated on the vendor’s site”?

Because the capability could not be established from the vendor’s own pages on 2026-10-14. That is not a finding that the feature is missing, and it is never shown as a No. 4 of the 70 cells are in that state.

Which of these apps recognise members at registration?

Accelevents, Cadmium (Eventscribe), Cvent, Glue Up and Whova state it as part of their product — member-only tickets, a membership database link or AMS integration. EventMobi and Swapcard offer it through a priced integration or add-on. For Bizzabo and Swoogo, member pricing or a member-database link was not stated on the pages read. WebMobi offers none of these.

Can WebMobi take registration fees?

No. WebMobi does not take registration or ticket payments today; a paid event’s button links to your own ticketing page. If your annual meeting charges a fee, that column decides your shortlist before WebMobi is on it.

Can I start next year’s meeting from this year’s in WebMobi?

No — not as a one-step copy we can stand behind today. WebMobi does not claim a way to copy an event into next year’s edition today. Next year’s meeting is a new event, and its sessions, speakers, sponsors and exhibitors come in from the same spreadsheets you used this year.

Does WebMobi record session attendance for continuing-education reporting?

It records who attended each session — staff pick the session on the web check-in page or in the app, scan badges or find people by name, and can scan them out again — and exports the list in your event’s time zone. It does not calculate credits or issue certificates; that step stays with you.

Where does WebMobi rank on its own page?

10th of 10, with 6 of 14 points. It scores zero on member registration, online payment, next year’s edition and app under your own name, exactly as any other vendor would.

How many of these vendors publish their prices?

6 of the 9 vendors compared publish prices on their own site. This page records only whether a vendor publishes them and links the page — it repeats no competitor’s figures.

Did any vendor pay to be included or ranked?

No. Nobody was paid, asked or consulted. Every vendor listed was researched the same way, from its own public pages, on the same day.
