Event agenda builder: build the programme once, and it is on your event page and in the app.
In WebMobi you enter sessions, rooms, tracks and speakers once — by hand, from a spreadsheet, or through an AI assistant — and that one agenda is what your public event page and the WebMobi app show. It exports to CSV with each session’s wall-clock time, and imports back without a session moving.
One agenda for the page and the app · spreadsheet import that never deletes · an export that round-trips
What it is
WebMobi’s agenda builder is the Sessions page of each event on events.webmobi.com. Every session you add there — its title, description, times, track, room and speakers — is the agenda attendees see on your public event page and in the WebMobi app on iPhone and Android. You never maintain a website schedule and an app schedule separately.
This page is for the programme lead who owns the agenda: how to get a programme in (by hand or from the spreadsheet you already have), how changes reach attendees, what the CSV export contains and what survives a round trip, and the limits to plan around before the programme is final.
WebMobi Event App Builder · Build and launch your event app yourself.
WebMobi Event App Builder is a self-service event app builder that helps conference organizers, associations, agencies and event teams create and launch branded event apps — with registration, check-in (including offline check-in and walk-ins), session attendance, agenda, speakers and exhibitors in one platform.
One agenda, everywhere it is used
| Where | What it shows from the agenda |
|---|---|
| Your public event page | The sessions with their times, rooms and speakers, for anyone with the link. |
| The WebMobi app | The same sessions, for attendees who open your event in the app on iPhone or Android. |
| Session check-in | The sessions staff choose from when they scan people into a session, on the web and in the app. |
| Agenda export | A CSV of every session, in a form you can edit and import back. |
| History | Each change to a session, with what it was before and after. |
Because the check-in screens read the same session list, the agenda you build is also the list your door staff pick from when they record who attended which session. More on that on session check-in.
Building the agenda by hand
Open your event, then Sessions. Add Session opens a dialog with the fields an agenda needs, and saving puts the session on the agenda straight away.
| Field | What it is for |
|---|---|
| Title and Description | What attendees read in the agenda and on the session. |
| Session Type | Keynote, Talk, Panel, Workshop, Lightning Talk or Break. |
| Track | Your own grouping — for example Technical or Business. |
| Start Time and End Time | Entered as the clock reads where the event takes place. |
| Venue and Room | Where the session happens, for example Main Hall and Room A. |
| Max Attendees | A number you can record for the session; leave it empty for no figure. |
Speakers on a session
Each session has a Manage speakers view. Choose a speaker who is already on the event and give them a role: Speaker, Moderator, Panelist, Host, Presenter or Facilitator. A panel with a moderator and three panelists reads that way in the agenda. Speakers themselves are managed on the Speakers page — see speaker management.
Venues and locations
The event’s Locations page holds the venues the event uses. Each session then carries its own Venue and Room, which is what the agenda and the export show.
Building it from the spreadsheet you already have
Most programmes start life in a spreadsheet. The Sessions page has an Import button and a Template file to start from. Choose the file and the page shows “Importing…”, then the result.
- Make sure the event’s time zone is right before you import: times in the file are read in that zone.
- Import your speakers first, on the Speakers page. A session can only link speakers who are already on the event.
- Fill the sessions file: title, start_time and end_time are required; times look like 2026-03-15T09:00:00.
- To say who speaks, add a speaker_emails or speaker_names column — several people separated by semicolons.
- Import, then read the result: Created, Already present (skipped), Failed, and the first row errors, each starting “Row N:”.
- An import never deletes. It only adds sessions. A row missing from your file changes nothing on the event, so a shortened or mis-saved spreadsheet cannot empty your agenda.
- Sessions are matched on title and start time. A row whose title and start time match a session already on the event is skipped and reported as already present.
- Speaker names link, they never create. Emails must match exactly; names match as “First Last”, ignoring capitals. A name that matches nobody is listed as an error for that row.
- Headings are read loosely. “Start Time” and start_time both work. A heading WebMobi does not recognise is ignored without a message, so start from the template’s headings.
- Files: .csv or .xlsx, up to 10 MB and 500 rows, and only the first sheet of a workbook is read on the Sessions page.
If your agenda, speakers, sponsors and ticket details are all in one workbook, a new event can also be created from it: the starter workbook’s Event Info sheet sets the title, web address, dates and time zone, and its other sheets hold the agenda and speakers.
The agenda export, and what round-trips
Sessions → Export downloads the whole agenda as a CSV file named sessions-<event-id>.csv. It is written to be edited and imported back, and it is where most agenda tools lose hours: an export in one clock and an import in another moves every session. WebMobi writes each time as the event’s own wall clock — 2026-09-21T09:00, not a UTC timestamp — and adds a Time Zone column naming that clock. What you typed as 9:00 AM exports as 9:00.
| Column | Read back by the importer? |
|---|---|
| Title, Description, Session Type, Track, Level | Yes |
| Start Time, End Time (wall clock in the event’s zone) | Yes |
| Day Number, Day Label | Yes |
| Venue Name, Room Name | Yes — rooms come back with the sessions |
| Max Attendees, Tags, Status | Yes |
| Speaker Names | Yes — links speakers already on the event |
| Time Zone | No — it is there for you to read; times are read in the event’s zone |
| Duration (minutes) | No — for reading only |
A description with line breaks stays in one cell, so one session never turns into several broken rows when the file is opened and saved again. Importing the file back into the same event adds the sessions that are not already there; sessions that are — same title and start time — are skipped, not updated. That makes the export a safe backup and a fast way to add a block of new sessions, and the Sessions page the place to change existing ones.
The agenda export needs the Edit event permission. The other two exports — who attended each session, and every registration with whether they attended — are described on session check-in and in the exports guide.
Changing the agenda once it is published
Programmes change up to the last minute. Edit a session on the Sessions page and the agenda changes there — on the event page and in the app — rather than in two places. To move a session to a new time, change it on the Sessions page: changing the start time in a spreadsheet and re-importing creates a second session and leaves the original where it was.
Every change is recorded in the event’s History, with what each field was before and after, and removals keep the whole record as it was. If your team uses an AI assistant connected to WebMobi, it can add, update or remove sessions for you, and those changes are named in History too — see the API and AI assistant page.
Who can edit it
The person who created the event, your organization’s owners and admins, and teammates you invite to the event with Edit event can all add and change sessions, link speakers and import or export the agenda. Details on team permissions.
What it does not do
Written down here so you find out now, not on event day.
An import adds sessions; it never updates them
A row matching an existing session (same title and start time) is skipped. Change existing sessions on the Sessions page.
A new start time in the file makes a second session
Because sessions are matched on title and start time, a moved time looks like a new session and the original stays.
Nothing is removed by an import
Taking a row out of the file does not take the session off the event. Remove sessions on screen, one at a time.
Speaker names never create speakers
The sessions file links people already on the event. Import speakers first.
The Time Zone column is not applied on import
Times are always read in the event’s own time zone. Set that before you import.
No preview and no undo on the Sessions import
The result is shown after the import has run. History shows each session it added.
CSV only, and no printed agenda
The agenda export is a CSV file; there is no PDF or .xlsx export. Older .xls files cannot be imported.
History names “The system” for Sessions-page edits
Edits and imports made on the Sessions page are recorded with before and after, but not yet with the person who made them.

FAQ
Can I build the agenda once and have it on my event page and in the app?
Yes. Sessions you add on the event’s Sessions page are the agenda on your public event page and in the WebMobi app. There is no second copy to keep in step.
Can I import my agenda from Excel?
Yes. The Sessions page imports .xlsx and .csv files up to 10 MB and 500 rows. Each row needs a title, a start time and an end time, read in the event’s own time zone.
Do session times move when I export the agenda and import it again?
Not when you import it back into the same event. The export writes each session’s wall-clock time in the event’s time zone and names that zone in its own column, so 9:00 stays 9:00.
If I edit sessions in the exported file and import it again, are my edits applied?
No. A session with the same title and start time as one already on the event is skipped, not updated. Change existing sessions on the Sessions page; use the file to add new ones.
Will a speaker named in the sessions file be created automatically?
No. The speaker_names or speaker_emails column links speakers who are already on the event. A name that matches nobody is reported as an error on that row. Import speakers first, then sessions.
Can I organise sessions by track, room and type?
Yes. Each session has a Track, a Session Type (Keynote, Talk, Panel, Workshop, Lightning Talk or Break), a Venue and a Room, and the export carries Day Number and Day Label columns too.
Can more than one person on my team edit the agenda?
Yes. The event’s creator, your organization’s owners and admins, and teammates you give the Edit event permission can all edit sessions and import or export the agenda.
Can I download the agenda as a PDF?
No. The agenda export is a CSV file. It opens in Excel, Numbers or Google Sheets.
Put your programme in once.
Create your event, import your speakers and then your sessions, and check the agenda on your event page and in the app.
