Free event apps: what “free” actually covers, and what to check before you commit
“Free” can mean free for a limited time, a capped plan, free only while your event is free, or free only for attendees. Here is how to tell them apart, the checklist that finds the catch — and WebMobi’s Free plan, with its limits stated first.
Written by WebMobi — with our own Free plan’s limits stated first
The four things “free” means for an event app
| What “free” means | What you get | Where the cost goes | Fits |
|---|---|---|---|
| Free for a limited time | The full product for a set number of days | A paid plan when the period ends | Testing before you buy |
| A free plan with a cap | A real plan, limited by participants, events or features | A paid plan once you outgrow the cap | Small and occasional events |
| Free for free events | No charge while your event is free to attend | A fee on each paid ticket | Free community and campus events |
| Free for attendees | A download that costs attendees nothing | The organiser pays the platform | Every event — this is the usual case |
None of these is a trick; they are different business models. The question is which one fits how often you run events and how many people come. What each named platform publishes about price — including its free tier, in its own words and with the source — is on event app pricing.
Before you build your event on a free plan
- The cap. How many participants, registrations or events does the free plan allow, per event or per year — and what happens to registrations once you reach it?
- Fees on paid tickets. If you will ever charge for a ticket, find the per-ticket fee. A plan can be free and still take a share of every sale.
- Check-in. Is door check-in included, does it work from staff phones, and does it keep working when the venue Wi-Fi drops?
- Your data. Can you export your registration and attendance list on the free plan?
- The next step up. Read the first paid plan’s price now, so outgrowing free is a decision, not a surprise.
WebMobi’s Free plan
The Free plan covers 50 participants a year. Every plan, Free included, has the same capabilities — what a paid plan adds is capacity, not features:
- Your website, generated from your own words
- The AI website agent that keeps it current
- Your events inside the WebMobi mobile app
- Registration
- Ticketing through your own payment provider — we take 0%
- A listing in WebMobi Discovery
- Community tools
- Your business blueprint
To see what the attendee app and check-in look like before you decide, read what an event app does or how check-in works.
What it does not do
Written down here so you find out now, not on event day.
A participant cap
Free covers 50 participants a year. More needs a paid plan or a single-event pass.
Ticket payments
WebMobi does not take ticket payments. Ticketing runs on your own payment provider, and WebMobi takes 0% of it.
No app under your own name
Your event runs inside the WebMobi app, on every plan.
Networking
WebMobi networking is in private beta and is not enabled by default. Request activation at /contact-sales or support@webmobi.com.
Free event app questions
Is there a free event app for organisers?
Yes, several — but “free” means different things: free for a limited time, a plan capped by participants or events, free only when your event is free, or free for attendees while the organiser pays. WebMobi’s Free plan covers 50 participants a year.
What is the catch with free event apps?
Usually one of four: the free period ends, a participant or event cap, fees on paid tickets, or features held back for paid plans. Read the plan for each before you build on it.
