Conference App Features Organizers Actually Use in 2026

Most conference apps are judged on a handful of features: the agenda, speakers, check-in, sponsor visibility and the tools that stop setup mistakes. Here is what to prioritize in 2026 and what you can safely leave off the list.

Mobile app for events on smartphone

Updated October 2026.

Feature lists for event software run to dozens of items, but attendees open a conference app for only a few reasons. They want to know where to be and who is speaking. Organizers need to know who showed up, and sponsors need to see they were worth it. This guide covers the conference app features that do real work on the day, the ones that matter mainly to your team, and the ones you can deprioritize when budget or setup time is short.

The conference app features attendees open most

An agenda that is always current

The agenda is the reason most people install a conference app. It has to be right, and it has to be the same everywhere. If the website says one room and the app says another, attendees stop trusting both.

Build the agenda in one place and publish it to every surface. In WebMobi, sessions you build once appear on the event website and in the app. If you keep your schedule in a spreadsheet, you can import it and add speaker_names or speaker_emails columns to show who speaks when. Agenda exports also carry the wall-clock time and time zone, so a schedule you export and re-import does not shift by hours. That matters for any event with remote speakers or attendees traveling across time zones.

Speakers with bios, visible early

Speaker pages sell the event before it starts and help attendees choose sessions once it does. Add each speaker once and they show on the website and in the app. In WebMobi, imported speakers appear on your event page even before you have assigned them to sessions. That helps when your lineup is confirmed before the agenda is. Speaker email addresses are never shown to visitors on the public page or in the app.

Rooms, halls and stages

At a multi-track conference, "Room B" means nothing to a first-time visitor. List the rooms, halls and stages inside your venue and attach sessions to them, so the agenda tells people where to walk. Keep room names consistent with your signage. The app and the signs should use the same words.

Check-in: the feature attendees notice when it goes wrong

Check-in is the first thing every attendee experiences on site. In Bizzabo's 2025 State of Events report, 71% of attendees said ease of check-in could make or break their event experience. A long line at 8:45 a.m. colors the rest of the day.

Scan from devices you already have

You should not need dedicated hardware to scan QR codes. WebMobi's web check-in lets staff scan people in from any phone browser, and organizers can also scan from the app.

Plan for the wifi failing

Venue wifi is often at its weakest during morning arrivals, exactly when you need it most. WebMobi's offline check-in keeps scanning when the connection drops and syncs once it returns. The check-in screen shows when each device last synced and how many of its scans arrived late. You can tell whether a phone may still be holding check-ins before you trust your headcount.

Session check-in for CE credits and planning

Event-level check-in tells you who came. Session check-in tells you what they came for. If you award continuing education credits, session attendance is a requirement, not a nice-to-have. In WebMobi, organizers pick the session they are scanning into right in the app. A session attendance report shows who attended each session and exports to CSV. The same report is what you want next year when deciding which topics deserve a bigger room.

Walk-ins and late registrations

Bizzabo's report also found that 59% of organizers saw an increase in late registrations. Your check-in desk needs to handle people who are not on the list yet. WebMobi's walk-in registration adds a person at the desk and checks them in in one step. Every check-in is recorded with who was let in, by which staff member, on which device, and whether it was taken offline. That record is useful when a sponsor or finance team asks how the final numbers were counted.

Sponsors and exhibitors: features that keep partners coming back

Sponsor features are easy to treat as an afterthought, but they pay for many conferences. Encore's 2026 live experiences research found that events that measure outcomes keep 71% of their sponsors, compared with 52% for events that do not. Visibility and measurable leads are the two things to get right.

  • Tiers in your own words. WebMobi sponsors carry tiers, logos and their own pages. You can name tiers to match your contracts, such as government partner or media partner, instead of choosing from a fixed list.
  • Order you control. A Display Order column in your sponsor sheet decides who appears first, so headline partners lead regardless of tier.
  • Exhibitors and lead capture. An exhibitor directory with booths and lead capture gives exhibitors something concrete to take home. See the lead retrieval app page for how it works.

Agree with sponsors before the event what you will report afterwards, such as session attendance for their sponsored talks or leads captured at their booth. Then make sure the app records it.

Engagement features: which ones are worth the effort

Encore's research found that connection drives 49% of attendance decisions. People come to meet people and share the experience, so engagement features matter. They only work if someone owns them on the day, though.

  • A live photo and message wall. WebMobi's Live Wall lets guests scan a code and post a photo or message to a shared wall. Put it on a screen in the foyer and it runs itself between sessions.
  • Polls and Q&A. These work best when a moderator or session chair is briefed to use them. Without that, they sit unused.
  • Feedback surveys. Keep them short and send them while the session is fresh. Our event app features page lists what is available.

A simple test applies to any engagement feature: if you cannot name who on your team will promote it during the event, leave it switched off. In WebMobi you can switch a module on for one event and off again without losing anything it holds.

Features your team uses, not your attendees

Some of the most useful conference app features never appear in front of an attendee. They protect you from mistakes during setup.

  • Test mode. Publish a rehearsal event whose registrations and check-ins never count, run your door staff through it, then go live.
  • Private preview links. Share the event with your board or sponsors before it is public.
  • An email switch per event. A new WebMobi event sends no email until you turn it on, so importing a test list can never mail real people.
  • Change history. Every change to event content is recorded, showing what changed and when, and is visible to the people who manage the event.
  • Team access. Teammates you make admins can edit speakers, sessions, sponsors and exhibitors, not only the person who created the event.
  • AI editing with review. The American Express GBT 2026 Meetings & Events Forecast found 50% of respondents are integrating AI throughout planning and execution. In WebMobi, you tell the AI what to change, it shows you exactly what will change, and nothing saves until you confirm.

Do you need your own branded app?

For most conferences, no. Every WebMobi plan includes your events inside the WebMobi app, which is in the App Store and Google Play. A branded app is a one-off add-on, published under your own name with your own icon, so people find it by searching for you. It makes sense for associations or companies that run the same conference every year and want attendees to keep the app. Store review times are set by Apple and Google, so allow for them in your timeline.

A note for organizers in India

Live events grew 44% in 2025, according to the FICCI-EY Media & Entertainment report 2026. If you sell tickets in India, you can connect your own Razorpay account and take ticket money directly. WebMobi takes 0% of your ticket revenue on every plan.

Getting started

WebMobi pricing is based on participants, not features. Free covers 50 participants a year. One-time event passes start at $49 for up to 49 participants, with $299 and $999 passes covering up to 299 and 999 participants. If you want to see which option fits your conference, compare plans on the pricing page.

About WebMobi: before 2020, WebMobi’s event apps ran more than 2,000 events for over 2,000,000 attendees — among them the Boston Marathon, the Tribeca Film Festival, the NSW Department of Education and Connect ERA. More case studies.

Frequently asked questions

What are the must-have conference app features?

An accurate agenda, speaker profiles, room information and fast QR check-in cover what most attendees use. Add session check-in if you award credits, and sponsor and exhibitor pages if sponsors fund your event.

Will check-in work if the venue wifi goes down?

With WebMobi's offline check-in, staff keep scanning without a connection and scans sync when it returns. The check-in screen shows when each device last synced so you know whether any scans are still waiting.

How do I track attendance for continuing education credits?

Use session check-in, where staff choose the session and scan attendees into it. Then export the session attendance report to CSV for your credit records.

Can I import my agenda and speakers from a spreadsheet?

Yes. You can import sessions and speakers from a spreadsheet and link speakers to sessions using speaker_names or speaker_emails columns. Speakers show on your event page even before they have sessions.

Is the mobile app included, or extra?

Your events appear in the WebMobi app on every plan, including Free. A branded app under your own name is an optional one-off add-on.
